Job Description:

Bella Luna Banquet Hall is seeking a dedicated and proactive Administrative Assistant to join our team. This position plays a critical role in ensuring the smooth operation of our banquet hall, providing top-notch customer service, and supporting our event planning and administrative activities. The ideal candidate is flexible, professional, and ready to take on a variety of tasks.

Key Responsibilities:

  • **Administrative Support**: Perform general office duties, including typing, filing, copying, and using office management systems. Maintain up-to-date records, including employee records, payroll records, and contact lists.

  • **Customer Service**: Provide exceptional customer service, manage incoming calls, emails, and inquiries, and ensure a positive experience for our clients and guests.

  • **Event Planning**: Assist with event registration, logistics, and planning. Tasks may include securing space, arranging catering services, and preparing event materials.

  • **Technology Use**: Utilize Microsoft Office Suite (Word, Excel, Outlook) proficiently. Experience with CRM systems is preferred.

  • **Social Media Management**: Assist in managing our social media presence on platforms like Instagram, Facebook, and TikTok.

  • **Physical Requirements**: Ability to lift and move heavy items (e.g., boxes) as needed, and navigate stairs comfortably.

  • **Research**: Conduct research as needed and compile information for reports or presentations.

Qualifications:

  • High school diploma or GED equivalent.

  • Proficient in Microsoft Office Suite, including Outlook, Word, and Excel (skills subject to testing).

  • Prior office experience preferred.

  • Experience with CRM systems is a plus.

  • Strong verbal and written communication skills in English.

  • Excellent organizational skills, detail-oriented, and ability to handle sensitive and confidential information.

  • Ability to lift and move large objects, with the expectation that heavier items may be broken down into smaller components or additional assistance may be requested.

  • Ability to travel to local events; reliable transportation is required.

  • Positive and professional attitude, with excellent time management and problem-solving skills.
